Building Your Personal Writing System
The Bottleneck Is Never Ideas โ It's System
Most founders who struggle with writing say the same thing: 'I don't have time' or 'I don't know what to write.' But time is rarely the real bottleneck. A LinkedIn post takes 20 minutes if you sit down with a clear idea and a structure. The problem is that most founders sit down to write without either โ and then spend 90 minutes on a blank screen before abandoning the attempt.
The first principle of a productive writing system is idea capture. Ideas come at inconvenient times โ in the shower, between calls, during a client conversation, while reading. If you don't capture them immediately, they're gone. Your idea capture system should be frictionless: a single dedicated note in your phone's notes app, a pinned message to yourself in Telegram or WhatsApp, or a voice memo. Don't use multiple systems. One place, low friction.
The second principle is separation of generation and editing. The worst thing you can do when writing is edit as you go. It activates your inner critic at exactly the moment when you need creative freedom. Write a full rough draft first โ fast, messy, incomplete โ and then edit it. The two modes of thinking (generative and critical) are genuinely in conflict. Running them simultaneously produces the writer's block that paralyzes most people.
The third principle is batching. Write all your LinkedIn posts for the week in a single 90-minute session. Write all your email newsletter content in a single sitting. Context switching between writing and other tasks is where most of the time cost in content creation lives. Batching reduces that cost to near zero.
AI as Your Writing Partner (Not Ghostwriter)
Used correctly, AI tools โ Claude, ChatGPT, Gemini โ can dramatically accelerate your writing output without sacrificing authenticity. Used incorrectly, they produce generic, recognisably AI-generated content that erodes your personal brand.
The distinction that matters: AI is a research and drafting partner, not your voice. Your thinking, your specific examples, your contrarian positions, your client stories โ these are what make your writing valuable and uniquely yours. No AI has your specific experience or your specific perspective. What AI can do is help you turn rough notes into structured drafts, expand bullet points into paragraphs, find counterarguments to address, and repurpose existing content into new formats.
Practical AI writing workflows for founders:
Brain dump to draft: Write a messy 200-word brain dump of your idea in plain text. Paste it into Claude with the prompt: 'Turn this into a structured LinkedIn post with a hook, 3 supporting points, and a question at the end. Match my tone โ direct, specific, not corporate.' Edit the output to sound like you.
Article expansion: Write an outline โ just the main points as bullets. Ask AI to expand each bullet into a 100-word paragraph. Edit to add your specific examples and voice. This turns a 30-minute outline into a draft article in 20 minutes of collaboration.
Repurposing: Paste an existing article and ask 'Turn this into 5 LinkedIn post ideas, each under 200 words.' Select the best ideas and write the final version yourself.
The key workflow insight: always start with your thinking, not AI's. An AI prompt that starts with your ideas produces something you can edit. An AI prompt that starts with a blank brief produces something generic that's harder to salvage.
โก Today's Action
Set up your idea capture system today: one note titled 'Content Ideas' in your phone. Then set a recurring 90-minute writing block on Tuesday morning in your calendar for the next 8 weeks. Commit to showing up to it regardless of what you feel like writing.
๐ก Pro Tip
Set a 'daily writing minimum' โ not a word count, but a time minimum. Even 15 minutes of writing per day compounds dramatically. The habit matters more than the quality of any single session.
